Event reminders

Klixey sends every confirmed attendee a couple of reminders before each slot, and handles the email side of cancellations — both when you cancel a slot and when an attendee cancels their own signup. You don't have to set any of this up; it just happens.

Quick answer

Every confirmed attendee gets two reminders before each slot — one 24 hours before and one 2 hours before. The reminders include the location text you set on the event. Cancellation emails go out immediately when you cancel a slot or when an attendee cancels their own signup.

Reminder cadence

For every slot, each confirmed attendee receives:

Both reminders go out regardless of slot size — five attendees or 500 attendees, the cadence is the same. Each attendee gets their own copy.

Customer's local time

The "24 hours" and "2 hours" are real-world hours, not display hours. Attendees in different timezones still get their reminders at the same moments relative to the slot's start. The times shown inside the email are converted to each attendee's own timezone.

What's in a reminder

Each reminder includes:

  • Event title.
  • Slot time in the attendee's own timezone.
  • Location — the text you wrote on the event (your Zoom link, Meet link, address, or whatever you pasted).
  • A calendar invite they can re-download in case they lost the first one.

If you update the location in the editor before a reminder goes out, the new value is what attendees see. If you update it after, you'll need to email attendees directly with the change.

Cancellation emails — when you cancel a slot

When you cancel a slot from the editor (see Managing event slots):

  • Every confirmed attendee gets an Event cancelled email immediately.
  • The email shows the slot they were booked for, the original time, and a brief note that it's been cancelled.
  • You receive a confirmation email letting you know the cancellation notice went out.

Pending or remaining reminders for that slot are stopped — no further reminders go out for a cancelled slot.

Refunds aren't automatic

For paid events, cancelling a slot doesn't refund attendees. Issue refunds yourself from your customer list. See Refunds & disputes.

Cancellation emails — when an attendee cancels

If the attendee cancels their own signup:

  • The attendee gets a confirmation that their signup is cancelled.
  • You get a notification that someone cancelled, so you can adjust your headcount.
  • Their seat is released back to the slot — someone else can take it.
  • Their remaining reminders stop.

This loginless cancel flow runs through the link in the attendee's own signup confirmation email — they don't need an account.

What if a customer doesn't get a reminder?

A few things to check:

Tips

  • Double-check the location field before the first reminder goes out. That's the most-asked-about field on event day. An empty or stale location leads to "how do I join?" replies.
  • Don't change the slot time once people are signed up. Reminders are tied to the slot — changing the time after attendees sign up is fragile. Cancel and recreate instead.
  • For longer events, send your own follow-up. Klixey reminds them before the event starts. If you want a recap, a recording link, or a thank-you note, send that from your own email.
